ERASMUS+ STAFF MOBILITY FOR TEACHING ASSIGNMENTS (STA) APPLICATION ANNOUNCEMENT

Dear Faculty Members,

Staff Mobility for Teaching Assignments (STA) is a field of activity that allows higher education institution (HEI) teaching staff of a Turkish HEI (holding ECHE) to teach and carry joint academic/educational activities at a partner HEI (holding ECHE) in the program countries. The receiving organization must be a Programme Country HEI awarded with an ECHE or a Partner Country HEI recognized by competent authorities and having signed an inter-institutional agreement with the sending Programme Country partner before the mobility takes place.

Within the scope of Erasmus+ KA131 Staff Teaching Mobility, there must be an Erasmus+ agreement between the institution to be visited and the relevant academic unit of our university. In other words, our faculty members can only apply to agreements made in their fields.  The current agreement list of our university can be found here. If you think there is a missing agreement on the list please inform the office.

ELIGIBILITY

*Candidates must be a member of Boğaziçi University and actually working at the time of application.

*Candidates must be currently teaching at Boğaziçi University (lecturers, doctoral lecturers, associate professors, and professors can apply.)

*Candidates can only apply for Erasmus agreements made in the field of their departments.

*The institutions where the teaching activity is intended to be carried out must have been contacted in advance and an acceptance letter must have been received.

DURATION

STA is a daily basis activity and a grant payment is made for the lecture days. For this reason, in the Staff Mobility for Teaching Mobility Agreement, a specific teaching program must be indicated on a daily basis. The minimum number of days of the mobility is two, and the maximum is five. The minimum number of teaching hours required is 8 hours. It is expected that your teaching hours are evenly balanced during the days of the mobility.

HOST INSTITUTION

When applying to carry out the activity, it should be ensured that an Erasmus agreement covering the mutual exchange of faculty members has been made between the academic unit applied for and the academic unit of the applicant faculty member. If there is no agreement, a new bilateral agreement will not be made or conditions will not be added to existing agreements to ensure that all applications are received fairly during the application process. The existence of a bilateral agreement between academic units does not guarantee that the applicant faculty member will be accepted by the partner institution. Institutions have the right to accept or reject applicant faculty members according to their own evaluation criteria, regardless of the agreement. FUNDING

The National Agency has allocated funds to our university for staff mobility activities for 2025-1-TR01-KA131-HED-000324366 B.Ü and 2024-1-TR01-KA131-HED-000230777 B.Ü projects. All faculty members who are actually working at Boğaziçi University and meet the minimum requirements in the “Eligibility” section have the right to apply for the STA activity type and carry out short teaching visits in a higher education institution in an academic unit that has an inter-institutional agreement with their academic units for a minimum of 2 working days and a maximum of 5 working days and at least 8 hours distributed according to days with the grant to be allocated from the resource transferred to our university as a result of the evaluation. Faculty members who cannot be granted funds are also entitled to benefit from the activity without a grant if they are considered eligible for teaching mobility according to the list announced as a result of the evaluation. Participants who receive no grants must comply with the program’s rights and obligations.

Daily Grant

The grants of the projects are determined by the Turkish National Agency based on instructions by the European Commission.  The Country Groups Table shows the amount of support provided per day per country. The grant amount is not intended to cover all expenses incurred while abroad, and no separate payment is made for those expenses. No grant payment is made for days without teaching activity.

Travel Grant

The travel expenses to be paid to the staff benefiting from the Staff Mobility activity are determined through the “Distance Calculator” provided by the EU Commission. Through the distance calculator, the km value of the distance between the two points from the location of the sending HEI where the faculty member is based to the place where the activity will take place is determined, and the travel support grant is calculated using the table below.  The European Commission’s Distance Calculator is available below.

*Applies to green travel vehicles (train, bus, shared car, boat). Except for plane and ship travel, *Green travel methods encompass all modes of transportation using train, bus, shared vehicle use, bicycle, boat, etc. In order for participants to be paid green travel support:

* Making the main element of travel by using environmentally friendly travel methods,

* A large part of the round trip to the country where the institution is located, should be carried out using the above-mentioned environmentally friendly travel methods.

Using green travel methods only on the way out, only on the way back, or only for a portion of the journey is insufficient to provide support.

* At the end of the activity, documents proving the travel method and dates (tickets, receipts, invoices, official correspondence, etc.) must be submitted along with the return documents, and the green travel support request must be notified. Your request, along with your supporting documents, will be evaluated at the end of the activity.

Inclusion Support

The Erasmus+ Program encourages the participation of individuals with special needs. A potential participant with special needs is someone whose physical, mental, or health condition would prevent their participation in the project/mobility activity without additional financial support. To be eligible for additional grants for individuals requiring inclusion support, the beneficiary higher education institution must request additional funding from the Center. An increase in the grant cannot be requested after the participant activity has concluded.

The application form must include an explanation of why Inclusion Support is needed, along with supporting documents (such as a doctor's report, not older than 3 months, containing information about the disability and its level if the Inclusion Support is related to a disability, or a photocopy of the disability card, or a doctor’s report for chronic illnesses). The form should also include documents confirming that the hosting personnel of the higher education institution are aware that a participant requiring Inclusion Support will be hosted and that they have the necessary equipment. The requested additional grant amounts and the reasons for their necessity should be detailed in the form. The requested grant should be directly related to enabling the participant with Inclusion Support to participate in the activity.

For participants with Inclusion Support, the final additional grant will be provided based on the actual amount of expenses incurred. Expenses not supported by documentation and expenditures beyond the grant given to the beneficiary with Inclusion Support through the contract will not be considered eligible, even if they have been incurred.

APPLICATION

Application period and system 

As of March 1, 2022, the Turkish National Agency announced that the application and evaluation of Erasmus+ personnel mobility will be carried out through the portal. You will be able to log in the portal with your e-government (e-devlet) login information. https://turnaportal.ua.gov.tr/

The contact information provided during the application is the means of communication between the applicant and our office. For this reason, it is kindly requested to provide the contact addresses that are actively used during the application. Related updates should be made in the “Profile” section of the application system.  The application should be completed by following the steps in the application system. When answering the questions prepared in the form of a tick box, the box must be ticked for a “yes” answer, and for a “no” answer, the box must first be checked and then unchecked. All application documents specified in the announcement must be uploaded to the required document upload areas via the e-government system. The status of the application can be viewed from the “My Applications” section.

The application system will open on 16th of February 2026 at 10.00 a.m. and close on 2nd of March 2026 at 16.00 p.m. The applications of candidates who upload incomplete application documents and whose application is not “completed” will not be accepted. Applicants must be careful about completing their applications on the portal. If the application is opened for any reason please make sure you complete the application again, otherwise application is considered as incomplete. The documents listed below should be uploaded to relevant areas during the application.

EVALUATION

To ensure the efficient and effective use of the resources transferred to our university and to carry out the evaluation process in a fair, transparent, impartial, and consistent manner, a Staff Teaching Exchange Committee has been established by the Rectorate. Applications will be evaluated by the committee.

The criteria determined by the Turkish National Agency are listed below. In addition, our university has the right to include other criteria for its own institutional needs. Prioritization is carried out in the form of additional points application, all faculty members who have or do not have the below-specified characteristics have the right to apply.

1) First-time participation is prioritized in the selection.

2) Disabled staff are prioritized.

6) Veteran personnel and the spouses and children of martyrs and veterans are prioritized.

7) Activities related to Artificial Intelligence are prioritized within the scope of the 2021-2025 National Artificial Intelligence Strategy prepared by the Presidency of the Presidency Digital Transformation Office. *

8) Those who themselves or their 1st-degree relatives receive financial aid from AFAD are prioritized. **

9) For mobility to the country of citizenship is less prioritized.

*Additional points will be applied as specified in the evaluation criteria for activities related to Artificial Intelligence within the scope of the 2021-2025 National Artificial Intelligence Strategy prepared by the Digital Transformation Office of the Presidency of the Republic of Turkey. The scope of the activity must be clearly stated in the invitation letter and business plan. Its suitability will be evaluated by the committee.

**AFAD (Disaster and Emergency Management Presidency) Bank receipt stating “AFAD aid” will be required.

Important Note: A commitment/waiver document will be requested from project beneficiaries along with pre-departure documents upon the evaluation result.

Please note that mobility actions can only start at 30th of March 2026 at earliest and all mobilities must be completed until July 24, 2026 at latest.
